Privacy Policy

This policy explains what information Zynop collects, how it is used, and what choices you have. Zynop is a business intelligence service — we handle your business data with the same care we expect for our own.

Who we are

Zynop is a business intelligence service operated at zynop.io. Zynop is operated from British Columbia, Canada. This policy is governed by the laws of British Columbia and the federal laws of Canada applicable therein, including the Personal Information Protection and Electronic Documents Act (PIPEDA). We transform client data uploads into weekly executive summaries and prioritized action lists. References to "Zynop," "we," "us," or "our" in this policy refer to the Zynop service and its operators.

What information we collect

We collect information in two ways: information you give us directly, and information collected automatically when you use zynop.io.

Information you provide

  • Name and email address when you sign up, join the waitlist, or contact us
  • Business information provided during onboarding
  • Data files you upload as part of the Zynop service (see Section 4)
  • Communications you send us directly

Information collected automatically

  • Website usage data including pages visited, time on site, and referral source
  • Device and browser type
  • IP address (used to determine approximate location)
  • Cookie and analytics data (see Section 8)

How we use your information

We use the information we collect to:

  • Deliver the Zynop service — producing your weekly summary and action list
  • Communicate with you about your account and service updates
  • Respond to enquiries and provide support
  • Improve and develop the Zynop product
  • Monitor website performance and understand how visitors use zynop.io
  • Comply with legal obligations

We do not sell your personal information. We do not use your business data to train AI models or share it with third parties for their own commercial purposes.

Data connections and business data

The core of the Zynop service involves connecting to your third-party marketing and analytics accounts — such as Google Ads, Meta Ads, LinkedIn Ads, Google Analytics 4, and Google Search Console — via OAuth 2.0 to retrieve performance data on a read-only basis. In some cases, you may also provide data by uploading exported reports manually.

How we handle your business data:

  • Data retrieved from connected accounts or uploaded files is used solely to generate your Zynop reports and recommendations for that reporting period
  • Your business data is not shared with other Zynop clients or used for any purpose other than delivering your service
  • Data is processed using automated pipelines and transmitted to third-party AI providers (such as Anthropic, OpenAI, or similar) for summarisation and analysis — these providers process data solely to produce your report output and are not permitted to use it for model training
  • Retrieved data and uploaded files are retained only as long as necessary to deliver and support your service — see Section 6
  • You can revoke Zynop's access to any connected account at any time through that platform's account settings

You are responsible for ensuring you have the right to grant Zynop access to any connected account or uploaded data, and that doing so complies with your own obligations to your customers and the relevant platforms.

How we share your information

We share information only in the following circumstances:

  • Service providers: We use third-party tools to operate Zynop (including automation, hosting, and analytics). These providers access data only to perform services on our behalf and are bound by confidentiality obligations. Current key providers include Webflow (website and hosting), Make.com (automation pipeline), HubSpot (contact and waitlist management), Google Workspace (internal operations) and AI providers (such as OpenAI)
  • Partners: If you are referred to Zynop by a partner, we may confirm the referral relationship. We do not share your business data with partners.
  • Business transfers: If Zynop is acquired or merges with another entity, your information may be transferred as part of that transaction. We will notify you if this occurs.
  • Legal requirements: We may disclose information if required by law, court order, or to protect the rights and safety of Zynop, our clients, or the public.

International data transfers

Zynop is operated from British Columbia, Canada. However, some of the third-party service providers we use to deliver the service — including AI processing, automation, and hosting providers — are based in the United States. This means your data may be stored or processed outside of Canada, in jurisdictions where data protection laws may differ from those in your home province or country.

We take reasonable steps to ensure that any third-party provider handling your data is bound by contractual obligations to protect it in a manner consistent with this policy and applicable Canadian privacy law.

Data retention

We retain your account information for as long as your account is active or as needed to provide the service. Uploaded data files are retained for a rolling 90-day period to support reporting continuity and support queries, after which they are deleted.

You may request earlier deletion of your data at any time by contacting us (see Section 12). Some information may be retained for longer where required by law or for legitimate business purposes such as fraud prevention.

Your rights

Depending on where you are located, you may have rights over your personal information, including:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Ask us to correct inaccurate or incomplete information
  • Deletion: Request that we delete your personal information
  • Objection or restriction: Object to or ask us to restrict certain processing
  • Portability: Receive your personal data in a structured, machine-readable format

To exercise any of these rights, contact us at privacy@zynop.io. We will respond within 30 days. We may need to verify your identity before fulfilling a request.

Cookies and tracking

zynop.io uses cookies and similar technologies to operate the site and understand how visitors use it. This includes essential cookies required for the site to function, and analytics cookies that help us improve the service.

We use Google Analytics or equivalent analytics tools to collect aggregated, anonymised usage data. We do not use advertising tracking cookies or sell data to ad networks. You can manage cookie preferences through your browser settings or any cookie consent tool presented on the site.

Security

We take reasonable technical and organizational measures to protect your information against unauthorized access, loss, or misuse. This includes encrypted data transmission (HTTPS), access controls, and limiting who within Zynop can access client data.

No method of transmission or storage is completely secure. If you believe your information has been compromised, please contact us immediately at privacy@zynop.io.

Children's privacy

Zynop is a business service intended for adults operating or working within businesses. We do not knowingly collect personal information from anyone under the age of 16. If we become aware that we have collected information from a minor, we will delete it promptly.

Changes to this policy

We may update this policy as the Zynop service evolves. If we make material changes, we will notify active clients by email and update the effective date at the top of this page. We encourage you to review this policy periodically.
